What Is Vehicle Leasing?

Leasing is simply a longer term rental of a vehicle, just the same as hiring a vehicle for period of time. Leasing is the same type of agreement as you would have when renting a vehicle for a day/week or a month. At the end of the lease period you hand it back and as long as you are within the mileage you set out in your agreement and the condition of the vehicle is within that detailed in the industry standard BVRLA Fair, Wear and Tear guide then there are no additional charges.

What Are The Disadvantages Of Leasing A Vehicle?

Disadvantages include not owning the vehicle or having an option to own it at any time, also leasing agreements are usually for periods between 2 and 5 years so if you are looking to keep your vehicle for more than 5 years leasing may not be your best option.  It is what it is a rental agreement for a fixed period of time and distance. What Are The Rules Relating To Benefit In Kind For Business Lease?

In simple terms if you provide your employees with company cars and that car is made available for personal use then the car is deemed to be a non-cash benefit by HMRC (similar to other benefits like private medical cover) As such the employee is liable for a tax charge. The tax charge is known as the Benefit-in-Kind (BIK). For further information read on below or if you have more specific questions then let us know.

P11D VALUE - is a form that HMRC requires all employers to complete. It details the cash equivalent values of all benefits and expenses that have been supplied during the tax year.

The P11D value of a car is the start point to calculating company car tax and is calculated per below:

Vehicle List Price (Including VAT)* + List Price of any Accessories (Including VAT)** + Delivery Charges - Any Capital Contributions made by the employee = P11D Value

*This value excludes any First Year Registration fee and Vehicle Excise Duty (VED)

**Accessories added at a future date need to be added to the P11D value if they have a cost of £100 or more, ( accessories costing less than £100 are excluded) , also any like for like replacement accessories will not amend the P11D value.

The value of the benefit is calculated as follows:

P11D Value x CO2 derived Appropriate Taxable Percentage (Per CO2 Table) = Benefit-in-Kind                                                                                                                                                                  

Diesel Supplement

If a car runs solely on diesel a 3% supplement is added to the appropriate taxable percentage, subject to a limit of 37%.

The 3% diesel supplement will be applied until April 2021
The BIK value is then adjusted for any of the following:

Part year period i.e. When the car was not made available until part way through a tax year or when a car ceased to be made available part way through a tax year.

Period when the car was unavailable (minimum period of 30 consecutive days or more).

Payments made by the employee for private use of the car.

Periods when the car has had shared use

The final adjusted BIK value is then multiplied by the employees marginal tax rate to determine the tax payable.

For employers, the BIK value is used to calculate the Class 1A National Insurance contributions, this is the amount the employer has to pay on the benefit provided to the employee.

I Have The Option To Take A Company Car Or Cash Allowance, Which Would Be Best?

Whether to take a cash allowance or a company car is a common dilemma many employees face and the answer depends on a number of factors, some key considerations are: the cash allowance value, company vehicle choice, income tax  and national insurance rates, benefit in kind tax on the company vehicle, business mileage, mileage reimbursement rates for company car and cash takers and the convenience of company car versus managing your own contract.

What Are The Key Advantages Of Leasing An ECO Friendly Vehicle?

We charge a one off Administration Fee, in addition to your monthly rental charge. This fee helps cover the costs we incur when providing the vehicle lease sourcing service we offer. For example our website costs, customer service executives, arranging your vehicle hire agreement, vehicle order documentation processing and organising the delivery of your new vehicle. The Administration Fee is payable by debit or credit card or by BACs payment. This payment will only be taken when we have received finance approval from the vehicle funding company and you have signed your order form, confirming instruction to us to place your order. Please note that Credit Card payments are subject to a 1.95% additional charge which is levied by the credit card processing company.

What Are The Advantages And Disadvantages Of Leasing vs Buying A Vehicle?

This is an important decision, it will depend on your specific requirements. Leasing is a quick, easy way to get the vehicle you want to drive but without thinking about ownership or having the hassle of needing to sell it when you are ready for a new vehicle. It starts with setting a mileage and term, think about what is best for you and how this may change over time. 

The Distance is the total mileage you will do over the period of the agreement in years. Leases will typically cater for up to 5 years and for mileages up to 150,000 in total. The important difference in a lease is that you do not own the car, the finance company does. In this case you simply hand the car back at the end and walk away free to do what you please or lease another new vehicle.

You will not own the car during the period of the agreement and do not have the opportunity to purchase at the end either. If you would like to retain usage of the vehicle for longer in a lease this would be subject to agreement with the finance company. If you had bought the vehicle this this your choice and you can retain and run the vehicle for as long as you wish.

What is Salary Sacrifice for cars?

You may provide a Company Car to an employee and in return the employee will sacrifice a sum of their gross salary. Normally these schemes are designed so that the sum sacrificed by the employee meets all of the costs to your business of providing the car, including items such as insurance, early termination cover, service rebills and damage charges.

Having sacrificed salary the employee saves paying income tax and National Insurance on that Salary instead paying tax on the Company Car Benefit. No employee NICs are payable on the car benefit. Salary Sacrifice schemes are particularly attractive where CO2 emissions are low and the resulting Company Car tax is substantially less than the tax and NI that would have been paid on the sacrificed Salary. As the cars provided to employees are Company Cars they can also be used for business travel. This reduces the requirement for the use of pool cars/hire cars by these employees or reduces the level of business mileage reimbursements.

The greater breadth of company cars would provide for additional flexibility, especially in the case of employees that leave. Cars can easily be redeployed with a different driver under Salary Sacrifice arrangements (car policies need to be structured carefully so that any cars requiring redeployment are attractive and appropriate for other employees), or can be utilised for essential car users. Salary Sacrifice promotes the take up of environmentally friendly cars, aiding 'green agenda'. There is a potential early termination exposure where staff attrition rates are high and vehicles can not be easily redeployed.

What Are The Changes To Salary Sacrifice For Cars In 2017?

NEW RULES IMPACTING SALARY SACRIFICE ARRANGEMENTS 

Any salary sacrifice agreements entered into on or after 6th April 2017 will be subject to new governing measures. Employer national insurance contributions will be based on the higher of the gross amount of salary being sacrificed or the value of the BIK provided. These new rules do not affect cars with CO2 emissions of 75 g/km and below. Where employees enter into new arrangements on or after 6 April 2017, then their company car benefit will equal the greater of (i) the amount as calculated via traditional company car BIK methodology, and (ii) the gross salary sacrifice foregone. 

What Are The Rules Relating To Claiming Back VAT On A Leased Car?

VAT can only be reclaimed by a VAT registered business. Typically 50% of the input VAT on the finance charge of the lease rental  and 100% of the input VAT on any associated services or maintenance costs can be recovered. For vehicles that are used solely for business purposes with no private use whatsoever then up to 100% of the input VAT on the finance charge of the lease rental is recoverable.  For vans 100% of the input VAT can be recovered on both the finance lease rental and services / maintenance lease rental. The actual VAT recovery position will also be dependent on the VAT status of your organisation.

What Vehicle Can I Lease To Avoid Paying Congestion Charges?

Whilst rules and legislation are subject to change at present Cars or vans (not exceeding 3.5 tonnes gross vehicle weight) which emit 75g/km or less of CO2 and that meet the Euro 5 standard for air quality qualify for a 100% discount on the Congestion Charge, in practice that is likely to be either an electric or hybrid vehicle as conventionally fuelled petrol or diesel vehicles have yet to reach this threshold.

Who Can Apply For A Business Lease?

If your are a Private or Public Limited company, Partnership or Sole Trader you will be able to apply for a business lease, most finance providers will require a minimum of 12 months trading in order for your application to be considered for a business lease. If you do not meet the minimum requirements for a business lease we could still look to provide a vehicle lease via a personal agreement. Petrol, Diesel, Hybrid, Electric. What Fuel Should I Choose?

Aside from environmental impact considerations your choice of fuel type comes down to efficiency, cost and range. Generally diesel vehicles have higher miles per gallon than equivalent petrol vehicles so will usually be cheaper to run however mileage and driving behaviour needs to be considered as the Diesel Particulate Filter (DPF) requires the vehicle to be driven at over 40MPH for about half an hour (Most manufacturers recommend every few hindered miles). Hybrid vehicles usually combine petrol or diesel with an electric alternative fuel, their performance again depends of driving habits and mileage. What Is The Difference Between A Stock Vehicle Order And A Factory Vehicle Order?

A stock vehicle is a vehicle which has already been built and as such will be available for quick delivery, usually between 1-2 weeks from completing the necessary paperwork for your order. A manufacturer order is one that has been  ordered to your specific requirements and specification from the manufacturer, manufacturer orders will usually take between 4 and 12 weeks dependant upon the vehicle chosen for delivery. We have great working relationships with our dealer partners so if a quick delivery time is critical for you we can look at options for vehicle choice to get you on the road as soon as possible. Both stock and factory orders are brand new vehicles.

Some Of Your Lease Vehicles Are Pre-registered What Does This Mean?

It is common for dealers to register vehicles before a vehicle has actually been ordered by a customer, this ensures the availability of vehicles and reduces the lead time for new vehicles ordered directly with a manufacturer. Some new vehicle orders can have a lead time of over 4 months. A pre-registered vehicle is a vehicle that has already been registered with the DVLA and will already of been allocated a number plate. This vehicle is in reality still a new vehicle with the only difference being that part of the vehicles manufacturer warranty will have lapsed since the registration date to the date of the Hire Agreement commencing. If you lease a pre-registered vehicle you will only be entitled to the remaining balance of the manufacturer's warranty and manufacturer breakdown cover (if applicable) A pre-registered vehicle offers the benefit of a much shorter lead time for delivery and in some times may be offered at a discounted price against a normal new vehicle factory order.

Are All Vehicles Brand New?

All vehicles leased are brand new vehicles with full manufacturers warranties. Some stock vehicles may be a number of weeks / months old ( pre-registered stock vehicles) , whilst these vehicles will have already been registered they will still be new vehicles with the balance of any manufacturers warranty still available. Any vehicle that is offered for lease and is not brand new will clearly be advertised as such and the lease price will reflect that the vehicle has been pre-registered.

All of our vehicles are supplied  either direct from a manufacturer or via a UK manufacturers main dealer network. We work closely with our own dealer network to ensure that you benefit from great pricing and the best possible customer service and vehicle delivery experience.

CHOOSING YOUR CONTRACT

How Can I Estimate The Annual Mileage For My Lease?

So that we can calculate a lease rental price that is in line with your requirements you will need to choose an annual mileage allowance that is aligned to the mileage you will drive. This can be done by simply taking your monthly mileage (if it is representative of normal driving mileage) and multiply the amount by 12 to get an annual mileage estimate. Historic service details and MOT documents should also be a good source of information to help you estimate your annual mileage. Always remember to factor in any material changes to your mileage requirements, i.e. job change or house move.  We appreciate that estimating your mileage accurately for a number of years can be a challenge, to cater for this most finance companies will allow you to restate your contracted mileage during the term of your agreement to better reflect your actual mileage. Also to cater for any mileage over your agreed contract amount when your vehicle is returned then a small pence per mile charge can be made to reflect this point.

Can I Vary The Value Of The Initial Rental Payment?

Yes you can vary the amount you pay as an initial payment. Some customers prefer to pay a higher payment at the beginning of their Hire Agreement, as this will reduce your ongoing monthly rental amounts for the balance of the contract. Please see the question "what is an initial payment?" for an example of how varying your initial rental payment will impact your future rentals. The total amount you pay over the lease period will remain the same, all that you are varying is the amount you pay at the onset of your agreement and the subsequent monthly repayments. Certain vehicle finance companies may require a minimum Initial lease payment and this will be confirmed at the vehicle order stage, this may be due to your personal financial circumstances/credit history or down to being a standard policy from the finance company.

What Is The Cost Of A Maintenance And Service Package?

This will vary dependant upon the make and model of the vehicle you have chosen, the length of your agreement and the annual mileage you have chosen. But irrespective of the vehicle or lease agreement parameters you have chosen you will always benefit from the discounted parts and labour costs.

Can I Add Maintenance To My Hire Agreement?

A maintenance and service package can only be added to your agreement at the point of ordering your vehicle, unfortunately we are unable to add it on at a later stage or during your hire agreement. All of the thousands of vehicles that we offer come with the option of taking out a full and comprehensive Maintenance and Servicing Package for an additional fixed monthly fee. This can easily be added to your rental agreement and monthly lease charge.

What Is NOT Included In The Maintenance And Servicing Package?

  1. Repairs required as a result of an accident or driver fault

  2. Items missing due to theft or malicious damage

  3. Items missing due to theft or malicious damage

  4. Lubricants and fluid top ups between service intervals (e.g. brake fluid, screen wash and oil)

  5. Replacement or repairs of glass e.g. windscreens

  6. Misfuelling

  7. Fuel drainage or damage resultant from misfuelling

What Is Included In The Optional Maintenance and Servicing Package?

  1. All scheduled maintenance and services as per your vehicles manufacturers service schedule

  2. Tyres - Unlimited premium branded tyre replacements including balance and valve. Option for free of charge mobile fitting service for your convenience (subject to appointment booking)

  3. No charges for puncture repairs or damaged tyre replacements (subject to terms of Finance company). Tyres are replaced subject to manufactures safety standards which is normally stated as tread depth of less than 2mm.

  4. Mechanical and electrical replacements and repairs due to fair wear and tear, including all labour and parts costs

  5. Perishable items - Including all batteries, wiper blades, bulbs, exhausts, cam belts, alternators and starter motors

  6. MOT tests - If required new vehicles do not require an MOT until they are 3 years old

What Mileage Can I Do In My Lease Vehicle?

We can tailor the annual mileage allowance for your Hire agreement so that it meets your specific anticipated mileage. Our lowest contracts start with just 5.000 miles per year and we can go up to 150,000 miles in total for your contract. This may vary slightly dependant upon your chosen finance company. Why Does The Lease Cost Increase When I Increase My Contract Mileage?

When you own a vehicle its future sale value will be impacted by the number of miles the vehicle has travelled, the higher the mileage the lower the future sales value. This principle applies in the same way when you lease a vehicle, the higher the mileage the lower the anticipated sale value. The fall in value of a vehicle is called depreciation and this is cost that is factored into your lease cost. The greater the mileage a vehicle covers over its contract period the greater the depreciation and the higher the lease cost.

What Are The Different Contract Lengths Available?

Our standard contract lengths range from 24 months to 60 months, so hopefully we will have something that can meet your needs. Please note that vehicles leased for more than 3 years will require an MOT at the appropriate time, this will be covered by the optional maintenance and service package if chosen as part of your lease agreement or will be at your cost and responsibility if no optional maintenance and service package have been selected.

What Is The Minimum Period I Can Lease A Vehicle For?

Our minimum lease period is 24 months, however if you have a requirement for a period of hire below 24 months please contact one of our customer services executives who will be happy to discuss our mini-lease or short term rental offers with you.

What Is Included In My Vehicle Hire Agreement?

All prices advertised will include: 

  1. Delivery of your vehicle by the relevant dealer to your chosen UK mainland destination.

  2. Number plates 

  3. Road Tax (Vehicle Excise Duty VED) for the duration of your Hire Agreement (if the cost of Road Tax increases during the term of your vehicle lease agreement or any extended term you will be charged for the increased cost as would be  the case if you owned the vehicle.

  4. Vehicle registration charge. 

  5. Full manufacturers warranty.

 Our standard lease rental prices do not include Maintenance and Servicing, this can be added to you Hire Agreement for an additional charge.

If My Circumstances Change Or The Original Terms Of My Hire Agreement Are No Longer Suitable Can I Amend My Hire Agreement?

The mileage allowance on your hire agreement can usually be amended during your hire period but this will be subject to the specific terms and conditions of your Hire Agreement from your finance company. It may also be possible to extend your existing Hire Agreement subject to approval from your finance company. If your circumstances change during the term of your vehicle hire please contact one of our customer services executives and we will be happy to review options with you.

Are There Any Restrictions Of What I Use My Vehicle For?

Please note that personal or business contract hire leases cannot be used for the following: taxi, any form of sub hire/vehicle rental, chauffeur work or for driving schools.

Can I Transfer My Hire Agreement To Another Person Or Business Entity?

Please note that the transfer of a Hire Agreement for a individual personal agreement or a business agreement is subject to the approval of your finance provider. Please contact one of our customer service specialists to discuss any requests you may have.

What Does The Administration Fee Cover And How Is It Paid?

Can I Use A Guarantor If My Finance Application Is Declined?

If your finance application has been turned down, the finance company may accept your application with a guarantor or as a joint application. If you feel you can easily afford the lease payments this may be an option to explore especially if the credit decline was not in relation to your affordability checks. This will always be based on the finance providers specific credit underwriting criteria. Please speak with one of our customer service executives to discuss this option.

How Do I Apply For My Finance Application?

How Long Will It Take To Get My Credit Check Completed?

We will always look to have your credit check completed within 1 working day of receipt of your completed finance application.

What Type Of Driving Licence Will I Need For A Lease Vehicle?

You will need to hold a full UK driving licence.

Do You Need A Personal Credit Check To Lease A Vehicle On A Personal Hire Agreement?

Yes all personal finance applications for vehicle leases will need a credit check to be completed by the finance company. You can provide the necessary information for your finance application via our secure form on our website or if you prefer over the telephone. 

Can I Put A Personal Number Plate On My Lease Vehicle?

There should be no issues transferring your personal / private number plate onto your lease vehicle. So as not to delay the delivery of your new lease vehicle our recommendation would be to put your private number plate on when your new vehicle has been delivered. The transfer is best  organised directly with your finance company and may be subject to a charge for making the transfer. You should also remember to transfer your personal number off your lease vehicle at the need of your contract. Whilst the transfer should be arranged with your finance company please do not hesitate to contact one of our customer services executives if you have any questions relating to personal number plates.

How Do I Place an Order With You?

If you are happy with the details of your vehicle quotation then you can proceed to order. All orders are subject to formal written acceptance by SmartDriveLeasing and the payment of your administration fee.

As part of your application process you will be required to submit some forms of identification, this can vary by funder but will typically be two proofs of identification which contain your name and address and are dated within the last 90 days (i.e. Council Tax or Utilities bill) and a copy of your photocard driving licence.

We will source the vehicle and communicate the details to our panel of finance providers and if accepted you will then be required to contract with the funder for a vehicle hire agreement.

If for any reason the vehicle you have requested is not available we will contact you regarding the availability of alternatives.

If the vehicle is available and we your order has been accepted we will contact you and confirm in writing  you order and confirm details re your new vehicle delivery.  If you have any questions relating to your new vehicle order then please contact one of our customer service executives who will be happy to help you.

Can I Fit A Tow Bar To My Lease Vehicle?

Yes, fitting a tow bar to your vehicle is fine and the easiest way to add a tow bar to your vehicle is at order stage so that the cost can be included in your monthly hire rental, by doing this we can also ensure that you are not breeching any of the terms and conditions in place with your finance company. During the term of your hire agreement it may be possible to make add a tow bar to your vehicle, such changes to the vehicle will be subject to the approval of your finance company and any such additions may need to be removed without damaging the vehicle prior to returning it at the end of your agreement. Please contact one of our customer service executives prior to making any changes to your vehicle so that we can advise you.

Can I Make Modifications or Customise My Lease Vehicle?

The easiest way to add modifications to your vehicle is at order stage, by doing this we can ensure that you are not breeching any of the terms and conditions in place with your finance company. During the term of your hire agreement it may be possible to make modifications to your vehicle such as adding a tow bar, such changes to the vehicle will be subject to the approval of your finance company and any such additions may need to be removed without damaging the vehicle prior to returning it at the end of your agreement. Can I Part Exchange My Existing Vehicle?

Unfortunately, the vehicle finance companies we work with will not accept your old vehicle as part payment against your new vehicle hire agreement. 

Are There Certain Criteria An Individual Needs For Getting A Vehicle Lease?

Most vehicle finance companies will have similar minimum criteria for taking out a vehicle lease agreement. Applicants must be 18 years old with no upper age limit  and hold a valid full UK driving licence. Leasing a vehicle will all be subject to a credit check as leasing a vehicle is a credit based product, as such our vehicle finance companies will access an individuals eligibility based on a number of factors. Typically these would include: 

  1. 5 years residential history 

  2. 3 years employment history (for retired applicants pension and other sources of income will be taken into account) 

  3. high level assessment of an individuals ability to pay the lease rentals for their vehicle for the duration of the Hire Agreement, this is typically assessed by reviewing summary income and expenditure for the applicant. 

VEHICLE DELIVERY

Are The Estimated Delivery Lead Times Accurate?

We work hard with our manufacturers and dealers to try and make your estimated delivery date as accurate as possible. For the vast majority of our leases the estimated delivery time proves to be very accurate. Manufacturer delivery lead times are our "best estimate" and can change and are beyond our control. We will keep you updated with regards any changes to your estimated delivery date and will work hard to ensure that your vehicle is delivered on your estimated delivery date,  we will also offer an earlier delivery date if the vehicle is available. Due to actual delivery dates being outside of our control we cannot accept any responsibility for any costs/losses incurred as a result of a delayed delivery.

Are There Any Additional Charges For Delivering or Collecting My Lease Vehicle?

Vehicle delivery and collection will be included at no extra cost, no cost delivery is assumed to be a driver driven delivery. Transported vehicle deliveries may be possible but would be subject to an additional charge.

Can You Deliver My Lease Vehicle To My Home Address?

Can You Trailer My Vehicle To Me?

Do I Need To Go To The Dealership To Collect My New Vehicle?

We will deliver your vehicle to you and collect it from you at the end of your hire agreement. There is no need for you to collect the vehicle in person.

How Long Will It Take For My New Vehicle To Get Delivered?

This will be dependant upon the specific manufacturer and model chosen and also if the vehicle is a stock vehicle which has already been built or if it is a vehicle that is ordered to your specific requirements from the manufacturer. Stock vehicles can usually be delivered in 1 - 3 weeks and manufacturer orders will between 4 and 12 weeks dependant upon the vehicle chosen. We have great working relationships with our dealer partners so if a quick delivery time is critical for you we can look at options for vehicle choice to get you on the road as soon as possible.

How Will My New Vehicle Get Delivered?

All standard vehicle deliveries are made by the vehicle being driven from the supplying dealership or manufacture distribution centre whichever is applicable, this helps to keep your costs down and ensures that your receive a good handover experience when your new car is delivered. In normal circumstances, no additional charges will be made for driver driven deliveries. It may be possible at your request for your vehicle to be delivered via a vehicle transporter or trailer, this option of delivery is subject to an additional charge which can be confirmed prior to you completing your vehicle order. 

I Have Chosen A Stock Vehicle, How Quickly Can I Get It Delivered?

Stock vehicles are new vehicles that have already been built and are ready for delivery. Delivery for these vehicles can be very quick as soon as your lease paperwork have been completed. Stock vehicles will typically be delivered in 1 -3 weeks, for personal contract hire deals delivery may not be available until the 2 week cooling off period has elapsed. We can inform you of delivery times when you submit a vehicle enquiry and make sure you benefit from the fast delivery times we can access due to our large purchasing power.

What do I need to do when my new vehicle is delivered?

When your new vehicle is delivered it is important that you :

  1. Check that the vehicle is per the specification of your order 

  2. Familiarise yourself with the vehicle prior to driving it

  3. Complete an inspection of the vehicle for any signs of damage or defects

Prior to you signing the delivery note any variation to your order specification and damage or defects identified need to be detailed on your delivery note and counter signed by the delivery driver. LetsTalk Leasing or the Supplying Dealer cannot be held responsible for any damage or defects once the delivery note has been signed if damage or defect have not been documented on the delivery note.
